We keep bookings in a notebook and they still clash

Phone, web and e-mail all write into one diary. In a paper book two people write in two places — that is where clashes come from.

Illustrative demo — names are invented. The diary fills in real time, as requests would arrive by phone, web and e-mail.

Plus and minus zoom, zero shows the whole demo, arrows move the zoomed demo.
  • 4requests from three channels
  • 3people in the diary

The demo runs on made-up data. Figures describe the demo set-up, not client results.

What it solves

Phone, web and e-mail write into one diary that never double-books

One diary for every channel. Never two people in the same slot.

Bookings come in by phone, through the website and by e-mail, and each channel is handled by someone different. A notebook or a shared spreadsheet cannot tell that two people have just promised the same time. The booking system writes every channel into one diary. In the demo, watch the third request: it targets a slot that is already taken, and the diary does not overwrite it but offers the nearest free one.

What the customer gets

Picks a service, sees the slots that are really free, confirms, and the day before gets a text with a link to reschedule.

Operations manager

One diary across channels and branches, an overview of utilisation and automatic reminders. A freed-up slot is offered to the next person waiting.

How it worksStep by step

  1. The customer books

Through the website, WhatsApp, the phone or at reception. Every channel writes into the same diary.

  2. The system finds a place

Goes through people and times and finds the first free place. It never overwrites a taken slot.

  3. If it is taken, it says so

Instead of silently overwriting, it offers the nearest free slot and the customer knows where they stand.

  4. Confirms and reminds

A text confirmation, visit instructions and a reminder the day before with a link to reschedule.

  5. An overview for management

Occupancy across branches, no-shows and the busiest hours in one place.

What it doesWhat it needs in production

  • Every channel in one diary

Web, WhatsApp, the phone with a voice line, reception and e-mail all write into the same diary in real time.

  • Suggesting a suitable slot

Based on staff workload, usual demand and the customer’s wishes. It never overwrites a taken slot; it offers the nearest free one.

  • Flagging risky bookings

Based on history, how far ahead it was booked and payment status, it flags bookings at risk of a no-show. Those get an extra reminder or a deposit request.

  • Reminders and confirmations

Confirmation, a reminder the day before, a thank-you afterwards. In the customer’s language, with a link to reschedule or cancel.

  • Several branches and resources

One branch or fifty in a single set-up. Opening hours per branch, a diary for every person, room and piece of equipment.

  • Payments and deposits

Stripe, GoPay or Comgate for deposits, prepayment or payment on site. Refunds on cancellation according to each service’s rules.

  • Occupancy overview

Occupancy, no-shows, revenue by resource and the busiest hours. A change in trend is visible before you find it in a spreadsheet.

  • Works with what you already have

Two-way sync with Google Calendar, Microsoft 365, Reservio, Storyous, Doctolib or your CRM.
